What are Extended Profile Fields (EPFs)?
EPFs are customizable fields that will populate on each learner’s account. They will be saved in both the HMM Admin Console, as well as the User Progress and Completion and Lesson Activity reports with HMM DOMO Reporting.
What are EPFs used for?
EPFs can aid in better understanding and visualizing reporting. Setting an EPF that matches with your organization’s metrics allows you to filter the results in a more efficient way. For example, if you are looking to report on which department is utilizing a specific course, you can add a “Department” EPF and filter by it.
EPFs can also assist in identifying learners. Attaching an EPF such as “employee ID” can allow you to add internal identification to the reporting.

How do I add the EPF to my reporting?
When initially setting up your organization’s HMM product, your Customer Success Manager and Technical Integration Manager can assist you in creating the initial EPFs. For any changes or additions, please submit a ticket here.
How are EPFs added to the profiles?
The field is populated depending on your setup. If you are utilizing an SSO connector, the fields can populate via the user authentication. If you utilize bulk uploads, the information must be provided to Harvard Business Impact in the requested userlist.
More detailed information based on your setup will be provided by your TIM and CSM.
EPF Restrictions
How many EPFs can I have?
The maximum amount of EPFs is 15, although for best visibility, we recommend not exceeding 11 fields.
Can EPFs be applied only to specific learners?
Once an EPF is saved, they are universal to all employees. However, you can make EPFs optional. For those users, the column will still appear in the reporting, but will remain blank.
If you are utilizing a provisioning SSO connector, it is important to distinguish between optional and required EPFs, so that accounts can be created seamlessly. More information on this will be provided by your TIM.
What information can I save in the field?
EPF fields are completely customizable. Any information pertinent to your organizational priorities can be saved, using any language necessary to ensure the results are clear and helpful.
However, Harvard Business Impact is unable to host Personal Identifying Information (PII) on the user’s profile. This includes any personal information not internal to the organization. Some examples can be seen below:

Compliant EPFs:
Employee/user ID, manager name, office location/territory, department, office phone number

Non-Compliant EPFs:
Personal email address, personal phone number, home address, date of hire, date of birth
